TROOP COMMITTEE MEETING MINUTES

March 9, 2009

PLC Report:   Kyle Reported

n        3/16 - No meeting next week due to spring break.

n        3/23 - COH – planned by Nick Logan / James Norlien

o         Tomahawk video.  Tomahawk deposits are due before 4/15, so an announcement will be given at COH.

n        3/30 - Theme:  Fishing theme

o         Pre-opening – Display of fishing poles, lures, tackle, tackle boxes, etc.

o         Opening Ceremony – Hawk Patrol

o         Skills and Instruction –

Kyle Action Items:  -

n        Find a scout as leader for Pancake Breakfast.

n        Scout to lead 4/25 scouting for food.

n        Flyers for 3/31 meeting for OA opener, Star-Fun

o         OA elections right after flags.

§         Need a list of candidates before 3/31.

§         Need ˝ of the active registered scouts for the meeting.

·         Fred will get a count of the number of scouts that are needed to meet this requirement.

·         Wyeth suggested the Kyle call the patrol leaders to make sure that we have good attendance for the COH and for the 3/31 OA election meeting.

 

Community service – Pancake breakfast, Scouting for food, Lakeshore cleanup.

n        Pancake breakfast 4/19 – Each patrol will set up a display.

 

Kyle presents his new web site idea.  Kyle asked if he could launch the new web site as a test for a month and at the next committee meeting we could replace the current link on our troop website.

Training-- Wyeth

3/21 – University of scouting – Lakeville high school --

3/28 – Sat.  Manitou training day.  First Lutheran church.  Scoutmaster training.  @ 9:30am

4/17 Weekend training – Outdoor leader skills is being offered by three rivers district at Ham Lake Regional park.  Training page.

4/2 – Roundtable – Youth protection at 6pm.   (Expires ever two years)  --- Is available online.

4/4 – Trainers Edge – First Lutheran church WBL.  Adult leaders – Teaching leaders how EDGE work.

 

New merged district is working on putting together a training weekend next fall, possibly the weekend of 10/10.   Wyeth is looking for help with instructors for the outdoor programs as a large turnout is expected.

 

Fred suggested that every Adult leader should be up to date on their training and should take advantage of these training events.

 

Lee H. -- Camping

n        Sub-committee meet and discussed Tomahawk costs and budgets.

n        Forecast ~30 scouts, 4 adults.

n        Recommend that troop pays Tomahawk costs for scouts that attend Grey Wolf and camp at summer camp.

n        Recommend $250 per scout (without t-shirt)

n        -- Adult dinners ~ $10 per day.  Suggest moving Friday meal to $6.50

 

Fred asked with the $250 per scout, what additional costs will the troop incur so the troop doesn’t have a surprise this year.  Steve W. suggested that we could get closer to the summer camp full service cost if we took away the troop expenses.  Scott mentioned that the troop has money in the account to pay for extra troop expenses.

 

n        Awards& Troop expenses for summer camp should not be charged to the troop.

n        If we drop the awards and Troop expenses the cost ~$240 per scout.

 

Fred asked what if we dropped the expense to $230, than it would the cost be to the troop, John mentioned $600 ($20 x 30 scouts).  Steve L. mentioned that we could add the cost of a t-shirt for $240.  Steve W. mentioned that we should try to keep the cost down and have the t-shirts be added as additional expense.   Rich mentioned that he would like to have all of the boys in summer camp have matching class-B t-shirts.

 

John motioned that we set the price for $250 without a t-shirt and $260 with a t-shirt before 4/15 with an additional $10 late fee afterward.  Rich mentioned that he’d like one price so it wouldn’t be confusing.   Last year t-shirts cost $7.50.  Rich proposed that we set the price for $250 with a t-shirt and we could adjust the menu to meet the costs.    Camperships will be available if needed.    John modified the motion to $250 with a t-shirt.  Sign-up after 4/15 the cost will be $260.  Motioned passed.

 

Camperships will need to have a deadline. 

 

$50 deposit by 4/13 for the commitment to summer camp.  Lee mentioned that Tomahawk charges $25 to hold spot for camping.  Scott mentioned that we could set up a tiered payment structure. 

Fred mentioned that it’s up to Lee how he wants to handle the signup with the suggestions from above.   Lee will send out a email for Tomahawk signup before the 4/13 deadline.

 

OA – Scott B.

Scott presented an OA ballot where each OA candidate would be listed on a ballot.  Each scout voting would then vote for all scouts unless they want to cross out a scout name from the ballot and give a reason.  (This would act as act as a negative vote and but that scout would still need to receive a majority to vote.  One scout could not veto another scout).

 

Steve asked if the ballot would have just the scouts name or their history of the scout that was on the ballot.   The ballot allows more boys to get into the OA.  The ballot prevents the OA election from becoming a popularity contest.  The ballot can also be used as a tool to get feedback from to the troop leadership.

 

Service Events

Paul H. mentioned that he was contacted by the church for Church cleanup before Easter.  This is an indoor cleanup.  For example sweeping the floors, usually the Saturday before Palm Sunday on 4/4.

 

Steve mentioned that we should just suggest to the PLC that we do the church cleanup.  John will talk to Kyle about possibly adding this service event.

 

FOS

Paul mentioned that Tom is trying to close FOS out for this year, but he didn’t have any details.

Kiwanis campout –

Steve K. went over the crossover costs.  Lee mentioned that the $120 cabin fee needs to be added to the troop costs.  ($60 per cabin).    Scout costs should be the Cabin fee, $5 Kiwanis cost and food.    Cost is ~$22 per participant.

 

Other Topics

Steve is in the process of nominating three boys for Gray Wolf, with one solid scout, another thinking about it and he’s looking for one other candidate.    So he open for suggestions.

 

Steve L. asked about the  John Nipp memorial fund.   This fund is set up as an endowment for troop to use as a nomination of a scout for summer camp.    Fred will forward the draft to the committee.   Steve L. mentioned that the Lions club has also helped the troop pay for Grey Wolf costs in the past and the troop should use them as a possible resource.

 

The troop try to get special BOR’s for the new scouts so they can get the Boy Scout rank before the COH.

Ben is working on his Eagle Rank advancement.

Scott and Steve is working with Luke S.  Luke is moving forward.

 

OA Kiwanis opener  4/17-19

The troop is cooking for the opener.
